For presenters in oral and poster sessions

ICOCIMS will take place in Parma (Italy), from Nov 7 to Nov 9, 2024, and looks forward to active participation from students, young researchers and young doctors from all over the world. Prospective participants can learn here about the criteria for abstract submission, and then submit their research here to be considered to present it in any of the oral or poster sessions.

Every applicant will receive a written response for each form submitted, both in case of acceptance or not acceptance, from our Scientific Committee as soon as possible.

Each oral session and poster session will have its jury, made up of experienced professionals from session-related field(s), and a certificate for the best presentation of the session will be awarded.

Anyways, a certificate of attendance will be issued to any participant (active or passive) meeting the attendance criteria.

The deadline for abstract submissions (for both oral and poster sessions) will be announced later this year.

The “Open” panel is for whom feels like its research fits into the greater theme of the Congress but do not think there’s any of the below-mentioned panels properly adapt for its study. If you feel like, please submit it under this option and we will find out whether it could be included in any of the panels or in an ad hoc panel!

Criteria for abstract submission

Oral session
The following kinds of research are acceptable to be considered for an oral presentation:

    • Original research articles,
    • Reviews,
    • Systematic reviews,
    • Meta-analyses.

Abstract guidelines:

    • All abstracts must be written in English.
    • All abstracts will be submitted in text boxes via this form. This is to make sure a uniform style, lettertype and structure is used.
    • Abbreviations must be explained between brackets.
    • Structure of submitted abstracts:
      • Title: In upper case letters only.
      • Introduction: State the aim of your work clearly.
      • Materials and methods: Describe the design of your scientific approach, including the materials used, the method and the statistical criteria applied. (if applicable)
      • Results and/or Discussion: State the results of your study briefly.
      • Conclusion: Describe the outcome of your study in relation to the original aim of your study.
    • The maximum number of characters (with spaces) in your abstract is 2500, everything included (except for the title and the references).

Presentation criteria:

    • All oral presentations must be given in English.
    • The oral presentation may take a maximum of 10 minutes, followed by a 3 minute discussion. Time limits will be strictly enforced. If the time limit is exceeded, the jury will deduct points, as a penalty.
    • Follow the structure mentioned above.
    • Use enough contrast and an appropriate font size (20-30) in your slides so the audience is able to read the text.
    • Avoid speaking too fast and watch your pronunciation.
    • Avoid repetition and too complicated terms.
    • Please, upload your PowerPoint presentation at https://is.gd/icocims_pptx before Nov 2, 2023 (23:59 CET).
    • All PowerPoints have to be brought to the event on a USB stick as well.
    • Please mind that files other than PowerPoint can and will not be accepted. Exceptions cannot be made.

Poster session
All types of research are eligible for the poster presentation. The following criteria must be met in order for your abstract to be acceptable for the poster presentation:

Case reports or series:

    • Poster structure:
      • Title
      • Introduction (patient info: initials, age, sex; signs and symptoms; physical exam modifications)
      • Case history
      • Investigations (pathologic changes ONLY)
      • Treatment/Results
      • Discussions/Differential Diagnosis
      • References (minimum 3)
      • Key Words
    • No abbreviations allowed, unless explained below in the poster.
    • Portrait orientation.
    • Dimensions: A0.
    • File extension: .pdf
    • The title should be large enough to be seen at a distance of 3 m.
    • Make sure the structure is clear by using numbers or arrows.
    • Create a suitable contrast for the audience to be able to read the text.
    • Don’t write too much information on the poster, use illustrative objects (images, figures, graphs, charts, tables) instead.
    • No grammatical errors in the poster.
    • There is no maximum number of characters for the poster, however it must be readable from a distance.

All but case reports and series:

    • Poster structure:
      • Title: In upper case letters only.
      • Introduction: State the aim of your work clearly.
      • Materials and methods: Describe the design of your scientific approach, including the materials used, the method and the statistical criteria applied. (if applicable)
      • Results and/or Discussion: State the results of your study briefly.
      • Conclusion: Describe the outcome of your study in relation to the original aim of your study.
      • Key Words: Add 2-5 keywords of your abstract.
    • No abbreviations allowed, unless explained below in the poster.
    • Portrait orientation.
    • Dimensions: A0.
    • The title should be large enough to be seen at a distance of 3 m.
    • Make sure the structure is clear by using numbers or arrows.
    • Create a suitable contrast for the audience to be able to read the text.
    • Don’t write too much information on the poster, use illustrative objects (images, figures, graphs, charts, tables) instead.
    • No grammatical errors in the poster.
    • There is no maximum number of characters for the poster, however it must be readable from a distance.

Presentations may only last 7 minutes, followed by 2 minutes of discussion. Time limits will be strictly enforced. Do not speak too fast, avoid repetitions and try to focus on the main ideas of your research.

Please, upload your poster in pdf at the following link https://is.gd/icocims_poster before Oct 26, 2 2023 (23:59 CET) in order to allow for printing time. Printing of the posters will be conducted free of charge for participants by ICOCIMS.

About the attendance criteria

As we are looking forward for our event to be recognized as an ECM-awarding event for medical doctors, and an extracurricular activity for University of Parma students, appropriate attendance checks will be put in place for both credit-seeking participants.

Participants whom do not meet attendance criteria, upon attendance checks, will not be issued an attendance certificate and, in case, will not be able to get ECM or CFU credits.
